Vtiger CRM Development & Customisation: Built from Experience

I see Vtiger CRM as the system that should sit at the centre of how a business operates.


My approach to Vtiger comes from a 15+ year background that started in Civil Engineering and Project Management, where structure, process, and accountability were non-negotiable. When I moved into business development, sales, and scaling companies, the biggest gap I kept seeing wasn’t effort—it was a lack of systems. Businesses were trying to grow using scattered tools, inconsistent processes, and no real visibility across their pipeline. The most comical was businesses trying to scale whilst using Microsoft Excel. Don't get me wrong, it's do-able... but don't. That’s where building proper CRM systems became critical.


Rather than forcing a business to adapt to Vtiger CRM, I build Vtiger around the business itself. Every system starts with understanding how leads actually come in, how decisions are made, and how deals move from first contact through to completion.


It's not just about sales though, that's a micro-environment for this CRM. I take it multiple levels above, including the entire Human Resources side of the business. This includes employee leaves, hiring processes, commendations, management meetings and so much more.


From there, the CRM is structured to reflect reality—clean data capture, logical pipeline stages for the entire business not just sales and access control that makes sense for each role within the business.


Automation is where most of the real gains happen, but only if it’s done properly. I don’t set up basic reminders and call it automation. I build systems where leads are captured and allocated automatically, follow-ups are triggered without manual input, and every stage of a deal drives the next action. Sales, operations, and delivery aren’t treated as separate parts—they’re connected through workflows that remove admin, reduce errors, and keep momentum without constant oversight.




Where Vtiger really becomes powerful is in custom development. Out of the box, it’s limited.
I have found that Vtiger rewards creativity and creative problem solving.


With the right build, it becomes a full business system. I’ve developed custom modules to handle everything from quoting and job tracking through to project delivery, along with dashboards that give real-time visibility on performance. Using Vtiger’s framework and backend logic, the system can be extended to match exactly what the business needs, rather than relying on external tools.


Integration is another key part of the process. A CRM on its own doesn’t do much. I connect Vtiger directly into websites for lead capture, employee documentation, relationship management, link it with marketing platforms to track campaigns properly, and tie it into invoicing and operational systems so everything flows into one place. When the data is centralised and structured properly, decision-making becomes faster and far more accurate.


Across every business I’ve been involved in—from scaling Auto Artisan from $400k to $3M to growing Amperion from $300k to $1.5M—the common factor has been structured systems built around a CRM. Not as an add-on, but as the core driver of how the business runs. It’s what allows consistent growth, clear visibility, and the ability to scale without increasing chaos.


The reality is most Vtiger setups fail because they’re treated like software instead of infrastructure. If it’s not built around how the business actually operates, it becomes another system people avoid. When it’s built properly, it does the opposite—it becomes the engine that drives everything forward.
